1. Information We Collect

We collect information in the following ways, depending on how you use CoachGPT:

  • Account information: If you sign in, we may receive or store basic account details such as your email address, sign-in details, subscription status, and account preferences.
  • Saved progress: If you sign in or use features that remember your work, we may store the information needed to show your history, progress, and saved outputs.
  • Requests and support: If you contact us or ask for follow-up, we collect the contact details, notes, and consent choices you submit.
  • Usage and analytics data: We collect product events such as page views, clicks, referrers, anonymous identifiers, and basic feature metadata. We use this in aggregate to understand reliability and navigation without treating your private coaching content as product-improvement material.
  • Device, browser, and local storage data: We use browser storage and essential cookies for local tool state, preferences, anonymous analytics identifiers, and authentication sessions.

2. How We Use Your Information

We use the information we collect to:

  • Provide the CoachGPT features you choose to use
  • Generate AI-supported outputs when you ask for them
  • Save your progress when you use signed-in or saved-work features
  • Operate account, payment, support, and communication workflows
  • Measure aggregate product usage and diagnose reliability or security issues
  • Communicate with you about account, product, billing, support, or requested follow-up matters

3. AI Features and Model Training

CoachGPT does not use your private tool entries, coaching notes, messages, or other submitted content to train our own AI models. We also do not sell that content.

When you use an AI-powered feature, we send the parts of your request needed to generate the response to trusted AI infrastructure. That may include your prompt, relevant context, and generated-output metadata. The provider processes that information under its own data terms and policies.

Do not enter information you are not comfortable processing through an AI feature. If a tool can be used locally without AI, you can use that workflow instead.

4. Local, Synced, and Shared Data

Some CoachGPT tools can run with local browser storage. If you use CoachGPT anonymously, your tool entries are designed to remain on your device unless you choose a feature that sends data to us, such as analytics, AI features, or contact forms.

If you sign in or use features that save your work, we may store your content and progress in our systems so the feature can work across devices and over time.

If you authorize sharing with another person or provider, they receive only the information needed for the workflow you chose. We do not broadly share your private coaching content without a feature-level reason or your authorization.

5. Internal Access to Your Information

Private coaching content is not open for casual browsing inside CoachGPT. Access is limited to authorized people and systems that need it for a legitimate support, security, billing, compliance, or debugging reason.

We do not review private user content for curiosity, marketing, or general research. If a support or safety issue requires looking at account-linked information, we aim to access the minimum information needed to handle that issue.

We do not use private coaching content as product-improvement, marketing, research, or model training material unless you separately and explicitly agree to a specific future program.

People outside the CoachGPT operations team do not get broad access to your private workspace. They receive relevant information only when the workflow requires it and you have chosen or authorized that workflow.

6. Third-Party Services

We use trusted service providers to run CoachGPT. They process information only as needed to provide their services to us. The main providers we use today include:

  • Google: Google sign-in and Google Analytics for aggregate product usage. Google's privacy policy applies to their handling of your data.
  • Supabase: Account authentication, database storage, and related infrastructure, including login-code authentication.
  • Stripe: Subscription checkout, billing, and payment processing.
  • OpenAI: AI-powered features. Content you submit for an AI request may be processed through OpenAI's API under OpenAI's data terms.
  • Vercel: Application hosting and anonymous usage analytics.

We may also use additional providers for email delivery, communications, or specific workflows. Those providers receive only the information needed for the service they provide. This list may change over time as our infrastructure evolves; provider-specific privacy terms may also apply when their services process your data.

7. Data Storage and Security

Your work may be stored locally, remotely, or both depending on the feature and your sign-in status. Core infrastructure may be provided by trusted service providers.

We use reasonable technical and organizational safeguards to protect personal information against unauthorized access, alteration, or destruction. No internet service can guarantee perfect security, so please avoid submitting highly sensitive information unless it is necessary for the feature you are using.

8. Your Choices and Rights

You have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your data
  • Request an export of your data where available
  • Withdraw consent for optional sharing or follow-up where applicable
  • Stop using optional connected features or AI-powered features

For anonymous users, you can clear local data through your browser or the user menu where available. For signed-in users, contact us if you need help accessing, exporting, or deleting account-linked data.

9. Cookies and Local Storage

We use browser local storage to save your preferences and session data. We use essential cookies for authentication purposes. We do not use tracking cookies for advertising.

10. Children's Privacy

CoachGPT is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13.
